Abstract

Manual management of employee data and Payroll processing in medium-scale companies is prone to delays, input errors, difficulty in error tracing, and weak authorization control between work units. This study aims to design and implement a web-based employee data management and Payroll processing information system that applies Role-Based Access Control for five user roles (Admin, Billing, Accounting) along with an audit trail mechanism to support verification of salary transfer proof. The system was developed using the Waterfall model covering requirements analysis, database and interface design, implementation, and testing. A case study was conducted at PT Swabina Gatra with main modules covering employee data management, access-right configuration, salary data import from Excel files, data grouping project and per bank, bank column-mapping template creation, payment data export, payment-stage locking, unlock request submission, and user activity history logging. Functional testing using the Black Box Testing method on 15 scenarios showed that all main functions worked according to specification. The results show that RBAC consistently restricts menu access according to user roles, while the audit trail feature improves the traceability of every data change so that the verification of bank transfer proof becomes more accurate, transparent, and accountable compared to the previous manual process.
